5 tips for starting your childcare business in 2022!

Have you thought about starting a childcare business in 2022? What are your priorities for getting started? At this time of year I always pause for reflection, and I’ve been thinking about the things I’d do if I were to start my business again in 2022…

So this blog has 5 things I think might help you get a head-start! There are things that took me a while to learn or implement, and things I wish I’d done more of sooner!

Tip Number One: Have a niche!

If you’re starting your childcare business in 2022, there’s definitely a lot to be said for niching down sooner rather than later. Instead of being another generic local daycare center, offer something that local families need or want! That way you’re meeting a need and making a name for yourself. You’re likely to be more memorable with a niche and the news about your childcare business will spread faster.

Tip Number Two: Mix the old school and the new!

Something I’d do straight away if I was starting up next year is not get caught up in trends. They’re great and serve their purpose, but there’s no need to ignore the old marketing tricks like flyers and posters.

Social media is super useful for getting your message out there. But what happens if the global server goes down and we have no socials?! It was all a bit worrying last time, wasn’t it?! Imagine if it had been down for longer… Gulp! Not a nice thought, am I right? So you’ve got to think strategically.

So I’m advocating to mix up your marketing! Head here for more tips.

Tip Number Three: Stick to a budget!

One thing I must mention if you’re going to be starting a childcare business in 2022, is that you need to have a clear budget. And more importantly, you’ve gotta stick to it! There are so many things you can do to set up your childcare on a budget, so you don’t need big bucks to get going.

However, sometimes it’s easy to get carried away buying resources, spending too much on marketing or uniforms… Basically not sticking to your financials. So I urge you to make a plan for what you can afford. Prioritize your budget and stick with it.  I’ve written loads of content on starting out on a budget, so don’t panic! Read them here.

Tip Number Four: Build your systems!

Y’all know I’m obsessed with systems, but it’s for a good reason! They make running a business so much easier! There’s no way I’d be where I am today – a multiple facility owner bringing in a sustainable 6 figure income – if I didn’t have systems.

Having certain parts of your childcare business automated really does help you stay sane and keep things ticking over smoothly! So if you’re just getting started in your business, now is the time to get those systems in place! Tip Number Five: Invest in yourself!

Investing in myself is one of those things I wish I’d done a lot sooner!! Sometimes I wonder where I’d be now if I’d prioritised my self-investment! I’m passionate about women in biz investing in their education, up-levelling their skills and learning about strategy. And I believe and have spent the last few years discovering how mindset is SO IMPORTANT!

And it doesn’t have to cost you the earth! There are numerous ways to invest in yourself, from borrowing books from the library or buying them second hand, to joining a membership or hiring a coach. However you do it, it’s important to get insight from people who have already been on the journey. Nowadays there’s lots of information readily available – so much more than when I was starting out. Daycare owners have become much more willing to share their journey, so why not use their expertise!

Educating yourself on the business side of daycare is vital too. Even if you love playing with the kids and your gift is coming up with the curriculum you really need that business acumen too. You can join daycare business groups like mine and ask questions, get tips and learn from others too. Have a think on where you may have gaps and ways to fill them within your budget!

Create a workflow for success in your childcare business!

There’s one main thing that can totally help you stay on track inside your childcare business. Are you doing it, Ninja? It’s ok, don’t panic! I wasn’t either in the beginning. But now I make sure that I’m using all kinds of workflow systems to help me stay on top of things.  Read on to find out how to setup your very own childcare workflow for success!

I wish I’d known 15 years ago how much having a workflow would help me! Since I started implementing them I’ve grown my business massively and don’t know where I’d be without them.

Nyckie, what is a workflow?!

Simply put, a workflow is a way of making your day more efficient. A business workflow is a repeatable process that consists of a series of tasks that generally need to be completed in a specific sequence. You map out your processes – for everything – and then you’ve got a workflow to ensure things get done!

Workflows are useful for making sure that those important processes you rely on are done the right way – every single time. An example: you may want to define a process workflow for onboarding new employees. You want to make sure that all your new employees get all the info, policies, and resources they need!

So, now you know: a workflow isn’t a plan for the kids, it’s a flow of work for you. The purpose is to ensure your daycare runs smoothly and your business is successful! What are you waiting for, Ninja?!

Write it all down

Start off by writing everything down. Break down all the tasks your team have to do on a daily/weekly/monthly basis. How often? By whom?

Look at your monthly views in your planner. What needs to get done in each month? Payroll? Team meetings? Taxes? Training? Each month is different! And don’t forget about those special days each month – Thanksgiving, National Poetry Day, Valentines, Black History Month… Maybe you’ll want to create some activities based round these or get a guest in. If you’ve got it written down, you won’t forget!

Theme your days

I have a theme for each day of the week. For example, Mondays for me are marketing days. I take a look at what needs doing so I can stay visible and keep my day care centers on people’s radars. What do I want to post? I focus on what needs doing for my marketing each Monday. Tuesdays are for teamwork! I meet up with team members and update paperwork. Wednesdays is my client day, so I focus on emailing potential families back or getting in touch with people who’ve been in for a tour.

Thursdays is my facilities day. So I work on things that relate to inspections – paperwork, asking questions. And I also use that time to do facility paperwork or practical tasks – like ordering lightbulbs! Sometimes I reflect on how things are working in the facilities – are the plans we have working? Do I need to work on the building itself and remodel? My Friday focus is finance!

Using tech for your workflow

I’ve just shared my themed days with you, but I now have all this down on my Trello. Each theme has a board and then I add tasks to the list that come up to the appropriate board and I then work on those as I go! I used to find using tech really hard for my workflows, but now I get in and open up my boards and I can see what has to get done! Once you’ve figured out your themed tasks then you can plug them into your week. I show you exactly how I do mine here!

There are other tools that I know people use, and I hear great things. There’s Asana, Monday, Hive, and more… You’ve got all the tech right at your fingertips! Imagine if I’d had these tools 15 years ago!

Something I get asked all the time is “how do I go about setting up my home childcare business?!” And it’s not a simple question to answer by any means! However, I’ve got some tips and tricks from all my years of setting up multiple day cares that I want to share with you.

I wish someone had created a simple guide for me to follow back in the day, so I thought I’d fill that gap to support you in your journey.

When it comes to setting up your childcare business it could be very easy for the seemingly endless To Do list to get overwhelming. Before you know it, tasks are missed, inventory gets messed up, meal plans and ordering go crazy…How do I know?! Because I’ve been there, done that. I’ve learned the hard way so you don’t have to!

By following my 5 steps, you’re giving yourself a massive head start in the childcare game! Ditch the overwhelm and start taking simple steps towards success right now!

5 steps to setting up!

There are 5 steps to setting up your childcare – whether that’s a home-based daycare or a smaller center. These 5 steps that will give you a great foundation to start your new career with

  1. Setting up the actual childcare space.
  2. Setting up all your workflows.
  3. Managing daycare paperwork.
  4. Create your financial systems.
  5. Get automating!

Although I cover those five steps in this week’s Youtube video I wanted to share with you a little about each step here.

Getting your space all set up

This is the fun bit! I like to use Pinterest for inspiration. Creating boards of the different areas I need and what I’d love them to look like. Plan out what you can do in your unique space.

Figure out your workflow

This step is the key to success! Creating your own personal workflow for your days. This is separate from the daily routines you have planned for the kids! Setting up your personal workflow as the childcare business owner is going to help you feel less overwhelmed and keep things running smoothly in your business. The workflow helps you get into a rhythm too.

Trello is where my workflow goes, but I also love using my planner.  But it doesn’t really matter where you write it all down, the purpose is to help you get clarity on what tasks need doing and when you’re going to do them.

Will you plan to do your paperwork during the kids’ nap time? It’s good to fit in simple tasks you can manage to do in the same room as the children as they sleep. Or perhaps you’ll be planning your menu on a particular day during naps. Maybe on Fridays if you have movie time when the kids are leaving you can catch up on the week’s finances.

It’s about spending your time more wisely, having a plan and getting into a routine. Setting it up properly in the beginning will make a difference!

Managing the paperwork

The bit lots of you will be dreading, and it’s the bit I got all wrong in the early days… I had so many files and folders and I had no system to organize things. It was chaos! But once I nailed my own filing system and had somewhere designated to store them, things got a LOT easier!

You might want to keep paper records in binders or folders on a shelf in your office, so you have them to hand – especially handy for those inspection times! These ought to include all your official and mandatory daycare files (insurance etc); your staff and kids’ files; enrollment packets (I keep mine in a separate box); all your food files…

Nailing your financial systems

I’m always talking about systems, I know! But there’s a good reason why. They will save you from slip-ups over and over again! Systems keep you organized and on top of your game. What’s not to love, right? And when it comes to financial systems, you want to get them sorted as soon as possible.

Since I got all my finance systems fixed-up, I’ve been able to grow my childcare business empire beyond my dreams! None of my focus goes on overwhelm or worrying about how things are doing, because I know already! And you can have that weight off your shoulders too.

Automate your business

Being a childcare business owner is hard enough without having to do every single little thing yourself! So I’d highly recommend not skipping this step! Look at apps that’ll save you time or help you stay organized. Whether that’s apps to help with staffing or apps to make CEO life easier, use technology to grow your business.

When I first set up my home daycare over 15 years ago, I didn’t know about any of this stuff!! This meant that promoting my business was super hard. But it doesn’t have to be hard for you! Apps and technology for growing your biz are absolutely where it’s at!!

Childcare inspections: they’re not the bad guys

Childcare inspections: they’re not the bad guys

Childcare inspections: two simple words that give day care owners the heebie-jeebies! I remember feeling really worried about the prospect of childcare inspections when I first started out in this industry. We’ve all heard stories from strangers on the internet and all sorts of anecdotes about how mean inspectors can be.

However, I’m here to set the record straight about why inspections aren’t as scary as they seem and help you see things from a different perspective.

If you’ve not had your first inspection yet, it might be worrying you. Or maybe you’ve got the inspection blues? Either way, read on to find out why we shouldn’t see the inspections as a negative.

Why do we even need to have inspections?

In my opinion, there are three main reasons that inspections matter.

Firstly, the kids’ health and safety. Research shows that states with strong licensing regulations, but lacking in routine inspections, don’t protect children from harm. Inspections of childcare programs by licensing agencies etc are important because they help to make sure that the State’s rules are being followed. This is vital for protecting children’s safety. And we’ve all got their best interests at heart, right? That’s why we’re here doing what we do best!

Next up, parental choice. Imagine you’re a parent trying to choose a day care for your precious little one. You need to make a shortlist of settings without spending hours driving around your local area. How are you going to do that? Wouldn’t it make sense to have a quality rating that helps you compare day care centers? Exactly! That’s part and parcel of what inspections can help with.

Finally: they can help you shine. I like to think of inspections as a way of figuring out where I can improve. Try and twist it into a positive experience – something to look forward to. How can I demonstrate that I’m the best?! What can I do to get to the next level of quality rating?

Annnnnnd breathe…

The inspection process can feel super stressful but it doesn’t have to be. Speaking from experience, I find that if you take a minute to practice inhaling and exhaling slowly it can really help you calm down. I know that these inspections can feel like a massive inconvenience, or like they’re out to get you but if you focus on the job at hand and put certain things into play, you can get through them.

Sort out your inspection mindset

Yup. Mindset matters for this too! Often we approach these sort of things with a negative mindset, assuming the worst and overthinking before the inspector has even set foot in your establishment! What good is being negative for the inspection? Is it going to help you get a good rating? No!

So, it’s really important that you take some time to step back and detach yourself from the situation. Take your emotions out of it and understand that this inspection is absolutely nothing to do with your abilities as a human being or anything at all personal. It’s purely about whether your childcare meets the regulations required by your state.

If you feel the negativity creeping in, remind yourself of your why! Tell your inner critic that you’re going to prove to the inspector what a badass childcare business owner you are!

They’re not the enemy!

We need to understand that the inspector isn’t the enemy! I know we hear those dreadful horror stories all about bad inspectors finding the tiniest of issues with how owners run their businesses – i.e. nit-picking! – but they really aren’t all “bad eggs”. So, while the rather irritating nit-picking behaviour can happen on occasion, it’s more helpful to go into it with a different approach.

So instead of assuming the worst and predicting that they’re coming to tell me what’s wrong, how about making the conscious decision to view it differently?

Gain valuable insight

What amazes me is that we all seem to forget that these inspectors are a.) human and b.) often experts in the field themselves! As such, they might even have been childcare business owners once upon a time! So why not make the most of their support?

Surely you could begin to see an inspection as a chance for someone from the outside to give you tons of valuable input and ideas. Actually, inspections are a rare chance to get an external perspective from someone who might help you make things better in your day care.

I found that reframing the way I thought about inspections and how I approached them was an absolute game changer! When you’re able to focus on the truly important thing: preparing things rather than worrying unnecessarily. When I looked at it from that perspective rather than seeing them in a negative way it was became a fantastic opportunity for growth!

Let’s celebrate childcare business owners!

As if it’s nearly halfway through 2021 already?! And this month is a great time to celebrate your team and yourself! We had International Workers Day on May 1st, Mother’s Day is coming up, and it’s soon to be Teacher Appreciation week. All of which are relevant to you and your staff. So why not celebrate the progress you’ve made so far this year!

At this point in the year, I like to take some time to reflect on how far I’ve come, and to assess where I’m at in relation to the goals I initially set in Q1. I know how easy it is to get swept up doing the day job, so much so that the wins can slip by unnoticed. Or the dreams we had at the start of the year are forgotten.

It’s time to take stock and celebrate the steps we’ve taken!

Every year, May seems to be a month of celebration. Singing the praises of teachers and moms and workers! Yay! But I wanted to shout out all the brilliant things you’re doing too! As childcare business owners we step into our families’ parenting shoes and we do quite a lot of teaching as well.

You are amazing community leaders, supporting parents to do their jobs in difficult times, and nurturing their babies! You’ve helped keep your country’s economy going. We are superheroes! Where’s your cape!? Let’s celebrate the last few months together!

Where did you begin 2021?

We all had high hopes for 2021 after 2020 and the Covid-19 drama…we thought we’d have moved on by now. But the reality hasn’t been as great as we’d hoped maybe. In January I remember me and my teams all sat down and went through plans for the next few months. Not just the day-to-day learning and care stuff, but I wanted to encourage them to be a part of my vision.

It’s easy to get caught up with the business of life and the Childcare Business but make sure to take stock of all those amazing plans we made at the start of the year.  So what did you set as your goal earlier this year? Revisit your vision board and your goals list.  Are there any bigger goals that got left behind? Because there’s still enough time to do them, choose to go all in!

Did you have a foolproof strategy in place to ensure that you took action? I’d love for you to reflect on the goals you set yourself. Where are you at in your journey towards them? Have you been meeting your SMART targets?

Where are you at now?

We’re almost halfway through 2021! Can you believe it? It’s like I blinked and FebMarchApril happened! Anyway, time is flying! So as we approach the midpoint, now’s a good time to reflect and check in and assess where you are.

Check your progress in detail. Imagine your goal as a destination; Whereabouts are you on the road to it? Reflect on some things like what’s working? Where have I gone wrong? What changes do I need to make? We need to look at all these things and push forward and put in place the things that need to be done so we can accomplish our dreams for 2021.

Make a note of the steps you’ve got left to take. Perhaps as we’re almost 6 months in it’s time to buckle down and zoom in on the bigger goals. Let’s take those dreams – the ones we are passionate about – and shout out: “Yassssssssssssss!! I’m going to finish it this year, I’m going to smash it!” Now we’ve got to get laser focused, give it 110% and throw everything we’ve got at these goals and go for it!

What can you celebrate?

So please use this month as a time to give yourself a pat on the back for making it through such a weird year, for being a shining light in the darkness! Clink a glass or two to celebrate how far you’ve come since January. Even if the wins seem small, it doesn’t matter!

I also want to celebrate and thank all the Childcare Business owners with it being Teachers Appreciation Week and Mother’s Day coming up!

As day care and childcare providers we definitely teach like teachers and care for kids just like moms do! SO this is my big thank you for EVERYTHING you do for your families and for the community you serve.

Celebrate you! You’re appreciated, your work is important and essential, and you ARE valued!
